We try our best to be as fair as possible in making the assignments. Our
primary goal is to maintain a 50:50 male female ratio. We consider how recent
each volunteer's last event was, and include a good mix of people who
volunteer very infrequently, and those who volunteer regularly, as well as
those who are signing up for their first event. We also consider age category
to some degree (so that there are some others at the event in a similar age
range), your assignment:assigned ratio (we want to keep our wait list ratio
very small), and also the no-show/cancellation record. If an event is very
popular or small, we don't like to assign people who have no-showed on us
frequently, as it is unfair to risk vacancies when there are others on the
wait list who would happily attend and have wonderful attendance records. We
don't yet have a time effecient mechanism for cross-referencing the 'fees paid
and up-to-date' but occassionally we take the time to consult the fees paid
lists to help make some difficult decisions. One final thing that we
frequently do in these very popular events (if nothing else to reduce my
stress and concern over who to assign) is to eliminate those who signed up
after the event was closed, and make assignments of those people only in rare
circumstances. (if you sign up after an event is assigned, we may assign you
if necessary, but only at that time will it be put in the database. For our
future assignment processses, late sign-ups do not affect the wait list ratio,
even though we send you a wait list note to save us time in preparing a
separate more specific email to reflect that).
and we would love to assign everyone who is interested, but due to space
limits, we simply cannot do that. There are many events that we have that we
can assign almost everyone who signs up, whether it is a very large event, or
a less popular one for a myriad of reasons.
