I found a great technique on this site! (Speech Pass Directions Contributed by Michele Burton, BCIU #22). Check out her idea on the caseload management section of material exchange. I have speech passes that I velcro to the door jam on the days that I am actually there. If I have a meeting, etc., I just don't put the pass up, and the child doesn't come. I give them a sticker on a blank 8 1/2 x 11 board game paper if I don't have to get them (group-mates picking them up is fair game), and at certain intervals they get to go to the prize box. (My first blank one also came from this site - check out the caseload management). I wish I'd done this sooner!
