I rely heavily on the electronic appointment Calendar in Outlook, pasting in entire emails or the text of response letters from foundations, using it as a 'tickler' to remind me a couple months before deadlines. This has proven to be the best way for me not to miss Report Backs, etc. I have 25 current clients and a minimum of 25 deadlines every single month, so I like to keep this stuff in the place where I will see it for sure. I keep my monthly Work Plan in Excel, and keep a Grant Calendar (a simple Word document) for each individual client where I keep a record of what we historically apply to each month, and where I can paste in new opportunities I learn of. I scan all paper application forms and guidelines and keep them in a searchable electronic file. I think we all use what we are most comfortable and familiar with, and if it keeps working, we keep using it until it doesn't work for us any more..
