Karen: Thank you...this is pretty much what I have been practicing. I was 'nervous' concerning the budget documents themselves (without donated products, goods, labor) showing such a high administrative cost (67%), and about 5% of direct program costs (food for the homeless). That 5% is the portion they actually purchase that is not donated through the food-bank warehouse for the county, or from food suppliers such as SYSCO. Most funders are NOT asking for the audit, just the budget, which limits space to discuss the true picture. In a project/program budget, I show donated items (incl. food/clothing) as income, and then directly charge them out on expenses (services delivered) so it does not affect overall number balance. This is a Program budget only, not the Board Approved Budget attachment. Does your food bank client receipt food suppliers for commodities received? (I imagine their accountants would want receipts for donations of that magnitude).
